The problems occur after a staff resign

She left our company on Saturday. Today I look for all documents to continue her works.
I can't find contracts in her computer or in the email. Because she only used her private email when she has worked here! Although I created an email for her in order that she would use it when she has still worked in our company.
We have not controller her carefully when she was a staff, now we must begin her works with a mess!

As long as you know where she is and she is still working for some other company, I am sure she will be co-operative to whatever queries you have for her to answer.
Normally, a month before she left, you should assign someone to work together with her in order to take over her jobs.
During this period, no new assignment should be dedicated to her anymore since she had tender her resignation.
Without handling well in this matter, the employees of the company as you have to suffer the consequences and the boss will just push all of the responsibilities everything to you because in their philosophy, they just want to see a bowl of curry in front of them when they ask for a bowl of curry. They are not concerning the way you prepare for it and the excuses if you fail to prepare for it on time.

that really is a big problem and additional workload for you.
try to call her and ask her too forward all the documents that you needed.
or call your IT department and request them to retract all the mails/documents from her account.
from now on, you must have a unified process on saving public files for you not to experience this problem in the future.

I'll do that, of course. Almost staffs left all documents for the next person. However, I don't know why she didn't. I feel frustration about her.

Oh my!!! I can just imagine...
Here in our office, we recommend a 30-day turnover for resigning employees. If however, the employee was terminated due to some offense, they are terminated immediately and no endorsement occurs. Perhaps it would be ok if you can still contact her for your queries? I hope she can still cooperate.

I called her yesterday to ask her about documents. She said that she'll resend me some soft contracts by email. However, I have not just received them today!

Whoa! No turnover occurred? It should be imperative that she turns over her work files and other responsibilities and accountability before leaving a company. Her clearance should not have been signed if she haven't properly turned over those things. Well, I think that your company had a lapse on that. Are you still in good terms with her? If yes, then you can easily contact her out and ask for help. I think that she should gladly help you out with that. But if the resignation is due to some burned bridges, it will be difficult to get in touch with her for help. Well, then you just have to work from the start and learn the lesson of choosing those people that you should hire. Just my two cents in.

ya there will be big problem will occur after a resign of staff in company.. Because they will know the thing which thy carried out.. But the person who replacing her will have big problem in understanding the work what she did and where she stopped and the way of thinking of her.... it will be much tough

I say the challenge occurs when your staff resigns. Whatever data or details that you need are all gone with her. That might be in her mind as she leaves so you need to start from scratch. If we think more of it, it is probably a good problem to solve, but more so a challenge. You are now task to do something to start the process of making those needed documents for your company. I know it may be a tedious work but I believe that you can accomplish the work. May you find the strength to perform it to the best of your ability, knowing that you are capable of making it. good day.

Sounds like big trouble and mess indeed. Do you think she could still be contacted and asked about this important document? If she could help then that would really be nice. You could try contacting her. If she doesn't want to cooperate or cannot be reached anymore then you have a lot of work ahead of you. Good luck!

Better contact her and ask her if she could provide you all the documents where she used her private email by sending it to you. She might help you on this matter. This might also serve as a lesson that you must control all your staffs by using a company-provided email address where you can retrieve the emails and other documents whenever they leave. This must be also monitored if they are following this specific rule.
Another is that you should have a grace period/transtion period when someone filed a resignation so that all the important works as well as documents are transfered to a staff that will handle her/his work after the effectivity of their resignation.
