Transcription job advice

Hello Mylot friends!
I just recently got a transcription job at Odesk where I need to transcribe 1 hour audio file. This is my first time working on a transcription. I use notepad in typing the words.
Now, what I would like to know is, normally, how long do you complete a 1 hr transcription job and what tools (like notepad) do you use to ease the job? I have been working on it periodically for about a couple of hours now but I haven't even reach the middle.
Transcribing one-hour audio file is hard I now realize.

I have done some transcription jobs before and these are the things I used to ease my work:
1. Dictionary. This is important especially when you are not sure what the speaker was saying but you caught some letters of the words. It can also become handy when your employer what's you to rewrite what you have transcribed.
2. Other reference books. This is optional, depending on the transcription job you have. I have tried medical transcriptioning and boy it was hard. Almost all of the terms are not familiar to me so I don't know if I'm transcribing the right word or not.
3. Headset. It is hard to transcribe when you use speakers. You would understand more what the speaker is saying when you make use of a headset because it blocks out the noise around you. Also, it can become handy. What I did before is transfer the audio file in my phone so that even when I'm at school, I can continue with my transcription work.
4. Foot Pedal (I don't have this). You need this especially when you want to get pro. This could help you rewind and fast forward the audio file without taking your hands away from the keyboard. This could also control the speed of the audio file. You can slow it down on the part that you cannot understand what the speaker is saying.
Part of the success of transcription jobs is using the right tools so make sure you have those. Good luck to you.

Hi everyone. I had to butt in here a minute because I also have experience in this field. I used to be a legal transcriptionist. I did this with and without a foot pedal and want to add that it is MUCH easier with the foot pedal. And, it goes much faster. I paid around $70 for my pedal about 10 years ago but have no idea what they're going for these days. I'm telling you this because they're not cheap and I wouldn't want you to think that they aren't worth the money. They most definitely are. They'll pay for themselves in no time with the time you'll be saving.
Also, the suggestion that you get reference manuals really is a good idea, especially if they want you to transcribe in a certain style, i.e. Chicago Manual of Style. If they haven't mentioned anything like this to you, then a simple dictionary would do. I find that I can look up words much faster with a book than I can online.
There is also something you can download for free to keep on your desktop for quick reference. It's called WordWeb. I got it when I began transcribing and still use it even though I haven't done transcription in years now. It gives you everything any other dictionary will. Just do a search for WordWeb. I love it.

Thank you for joining in. I am probably going to take a look at the WorldWeb you suggested. I am also intrigued by the Chicago Manual of Style. This one hour audio is offered to me for $9. I don't really know if that is a good or even price :) Since it was my first time to do translation, I was ready to accept any compensation just for the experience :)

Oh wow, thanks for the very informative response Lara! I can pause the audio with using keyboard but I can't rewind or fast forward it so I am going to check the Foot pedal you suggested. I think for this audio, I will not be needing dictionary or references because the conversation is about day to day life. It's like an interview on a radio station so the voices are very clear.
Thanks for your suggestion joannaleed though as I mentioned references are not needed yet. But of course when I do need them, I'll certainly search the net. That's a good idea!

How did you got that job. I would like to do transcriptioning too. I think its fun but it's hard. How much is the pay?Is there a fee to got a job or an audio file to transcribe?

Hi jtj_hello, I know two sites that will pay you for transcription work.
One is scribie and the other is Quicktate. I found out from myLot member, actually.

I registered on Scribie, but they have yet to send me the test file. They will send me a test file and I'll transcribe that, and if that is satisfactory, I can be a transcriber.
I haven't tried Quicktate yet.

Congratulations on getting the transcription job. I would love to have one. Do you do it from home?
I would say a one hour transcription job should take about and hour, maybe a little more. As one has to play back the audio probably several times. I use jarte for when I am typing something up for myself. It is a free program, and is very useful.
Transcribing can be very difficult especially is the person does not speak clearly. Are you able to contact the person you are transcribing for? If so if you have a question on something you don't understand, give them a call, they can clear it up and it can go faster for you.

Thanks for the advice MaryLynn! Good for you, you can complete one hour audio in about an hour or just so. I am working on the one hour audio and I think I am on it for more than 5 hours already =)
Anyway, yes, the person is easy to understand, it's just that the 1 hour is literally 1 hour, as in every second, the person says a word. I think he's not getting tired at all. :)

I would love to have a transcribing job, I could use the money.
Good luck with your transcribing, do you have a required time when the person needs the transcribing done by.
Keep working at it, each time you transcribe it will get easier.

Hi girl, it is better if you use steno notebook it is easier to transcribe when you use it. How I wish I can also got job like yours. I am a graduate of Secretarial Administration but I did not even applied my shorthand in my previous job because not inclined at my work in the bank. God bless

Hello gelay!
I know Shorthand but since I have not practiced it since College, I don't think I remember it anymore. As with using steno notebook, I cannot do that because what I technically have to do is type in the conversation that I hear from the audio file the employer sent me. If I write them in steno, I have to transfer them to MS word which will be a double task for me.
You can definitely get a transcription job! All you need are MS word/notepad, headset/speaker and of course internet. See the first response on this article, there is an info about sites that offers transcription job. You don't have to use shorthand! :) You can also try browsing through Odesk.com, there are several job offers there :) Membership is also free.

Hi leon!
The transcription job, to put it in a simple explanation, is basically typing in the conversation or any type of audio you will hear. An employer will send you an audio file then you will play it while you type in the words you will hear. You can either pause, rewind or fast forward according to your typing pace.

Odesk is one of the best site where you can start an online job.There are many transcription job in this site.But not just only transcription there are lots you can choose,it depends on the skills you have.I try a transcription job and I know that it's not easy.I am a member of odesk also for many years now and I have work with different employers already.
For you to get hired,first thing is you must take the odesk readiness exam and after passing it there you go,you can get an online job.

It depends very much on the nature of the audio, the quality and the number of times which you need to listen to each passage in order to accurately transcribe it, how fast you type and whether you can type as you listen.
In general, people speak at about 120 words per minute and, assuming that you type at 40 to 60 words per minute, it will take you at least twice or three times as long to type all the words in an audio file. You need to ADD to that the time taken to listen to the file (if you listen and then type), so even a straightforward and very clear transcription of a 1 hour audio tape may actually take 3 or 4 hours to transcribe under the best conditions.
If the quality of the audio is poor, there is more than one speaker and the accents are sometimes unfamiliar or words are mumbled or unclear, you may need to listen to certain passages several times, and the time taken can increase dramatically. As you have pointed out, you are less than half way through and you have already taken two hours, so it suggests that the whole job may take you around 6 hours.
A very competent and practised audio typist working with a voice with which he or she is familiar and using a foot-controlled dictation machine would be able to transcribe an hour of recording in less time, of course, because the speaker would usually be speaking a little slower and specifically for transcription but the kind of transcription given as tasks on ODesk and other places like it is generally much harder.

Hi owlwings!
There are times when I can type while listening to the voice but most of the time I need to pause the player and then get back to notepad. I type about 75 wpm so I think it is fast enough. I hope I could get through this one (although I don't really have a choice but to get through) ^_^ And now, I am going to look for the foot control and see how it works.

Hi, Girl_Thinking! Thanks for sharing this information. It's a very interesting job but I bet it's really hard. I earn part of my money with subtitling, so I make movies translations. But usually I have the scripts. Without this it's difficult for me because I can't hear very well the speaking, even in my own language. So I understand the problems you have and I'd like to give you courage! Good luck!

Transcription sucks. You have to keep playing back and playing back and you could take 2 or 3 days getting done, depending on how many hours. I worked on a 2 hour one and I gave up after about 2 hours .. it was ridiculous. I used a transcription software... it was free.. but still it was very difficult. On mine the person spoke so fast that I couldn't discern all the words... the software allowed me to slow it down, but by slowing it down it also changed how I heard it also making it even harder to understand.
You can get a free trial of Express Scribe. I will expire if you don't buy it after so long.

You know what, I wish I did not apply for the job. It is a one hour audio and I am still not done yet. I cannot sit still for about 2 hours, I need to stop every so often because I get bored easily doing it. :(
Next time I will just get the 15 to 20 mins audio :)

A transcription job is quite hard and tasking especially if you are not used to it. If the speaker is talking 40-60 words per minute and you can type 30-40 words per minute, plus the rewind and forward you will do to get the exact words, then you can calculate how long will it take you to transcribe a one-hour voice file.
It is fun to do transcription if it takes a lo of patience and a good transcription tool. You can try to download NCSWIFT tool for transcription, it will help you do the rewind and forward using your keyboard, if you have foot pedal it would be lot easier because you will be using your foot to do the rewind and forward.
In my experience, transcribing a 3-5 minutes voice file will take me 2-3 hours transcribing. Its ok to use the notepad for your transcribed words. It would also be helpful if you use a loud speaker to listen to it or a headphone whichever is the most convenient for you. Good luck

for other references, it is better if you have a e-dictionary installed in your computer for easy access. try the light scribe software too so that you can control the speed of the speaker especially for words that you can hardly decipher. :-)

Thanks for the info janevi! I am sure having a hard time on this one although the voices are very clear. The speaker seem to like speaking so much ^_^ There aren't many pauses. I will try the NCSWIFT tool you are saying.

transcription jobs are not that easy and i realized it just yesterday when i was going through a test. for 6 minutes tape i had my 100 minutes utilized.i was trying it for first time and i don't even know if i passed the test or not.
i don't feel i can work on it comfortably.

i have the similar feeling. it is too hectic a job with no fun involved. though they are offering a good amount but this job is not an easy one. i am still waiting for the test result and i am not too sure if i'll pass on it. do you know any medical transcription sites?

I don't think the audio will play if I turn off my internet, haven't tried that yet but I doubt it. How I wish I still remember shorthand and how I also wish that there is a shorthand version on the keyboard :) So technically, shorthand is really not advisable for online transcription job. Writing in a paper will just double my task because I have to put them into MS word afterwards.

I am also with Odesk. But I am no longer active cause it seems that there are a lot of competition from there. I only have one assignment completed from there and it was a long time ago. However, they are really paying so maybe I will try to be active again. Good job there on getting a transcription job. Just be patient about it. You already have it. Go, go , go!:)

You are right, there are so many competitors in Odesk but I guess once you have a good rating or 5 out of 5 stars, employers would trust you enough to hire you for their job. I like working at Odesk especially the fixed income because I am not pressured to log in daily unlike the hourly jobs. I just work whenever I am free or whenever I feel like it :)

I am also at Odesk but I have never applied for any job as yet because I have to take some tutorials first then start working for them. As you talk about transcription,I know it is not as easy at it appears. In starting you need to put extra time and when you get the flow, things will come out great. Best of Luck.

Hi informer,
I suggest you start with the Odesk tutorial test. Once you get 100% of the Odesk readiness completion test, then get a job right away. There are several offers that accept newbie especially the rewriting jobs and then you just have to establish 5 stars to get a good reputation. Once you have a good reputation, job offers will come your way without even applying for them :)

Hi. It really depends on the type of audio file you get. There are those that are easy to transcribe like instructional videos and stuff. Others are hard especially if the quality of the audio is poor or the one speaking slurs his words or speaks in an accent you're not accustomed to. But on average, I think an hour of audio can take 8 hours to complete. Some can do it faster, others longer. I sort of work in the transcription industry :)

Thanks for the info beamer! The audio file I got is actually easy because the voices and accents are clear. It is like an interview from a radio station. Good thing my deadline is in 2 days! Since it is my first time in this field, I definitely need time :)
